PTSA Executive Board Job Descriptions And Requirements

These descriptions are summaries and you are encouraged to contact current PTSA Officers to learn more details regarding job requirements and time commitments.

In addition to the responsibilities outlined below, each PTSA officer is required to attend

  • Regular officer meetings
  • Bi-annual PTSA training workshops
  • Monthly Board and General PTSA meetings throughout the school year

Co-Presidents:

  • Plans and presides at all meetings throughout the school year (executive committee, board and general membership)
  • Sustains and increases an inclusive membership, encouraging all parents to be involved in their children's education.
  • Appoints committee leaders
  • Represents unit at regional and state meetings
  • Oversees: Unit organization, Membership, Programs, Finances, Governance, Elections and Member Training
  • Works collaboratively with PTSA Council, school staff and community and maintains
  • positive relationships
  • Ensures that all deadlines are met for national PTSA, payment of service fees, and applications for awards
  • Reviews and approves all PTSA communications

Vice-President:

  • Performs the presidents' duties in their absence
  • Assist Presidents in the above duties as needed
  • Oversees all fundraising programs
  • Assists Committee chairs as needed

Secretary:

  • Takes minutes and records all business transacted at each meeting
  • Prepares minutes for approval at next meeting
  • Determines if Quorums are present at meetings
  • Issues all notices of meetings and conducts all correspondence
  • Helps to keep an updated record of all committee and members rosters

Treasurer:

  • Keeps accurate, detailed accounts and records of all funds received and disbursed, reconciles monthly bank statements and records all transactions in the Quicken program
  • Submits a monthly financial report at each meeting
  • Pays bills and fees on time
  • Ensures all financial obligations are approved by the board or membership
  • Preserves all pertinent documents for submission to the audit committee
